Start with what you have. This checklist helps make the first review more useful.

Begin with three core documents.
For each claim, start with the repair invoice, police or accident report, and rate or utilization log. Fleet operators can prepare 3–5 stalled claims.
Add the supporting records.
- Repair invoice and any estimates or supplements
- Police or accident report and incident details
- Rate sheets, dispatch records, or utilization logs
- Repair timeline and return-to-service date
- Towing, storage, and related expense receipts
- Claim number and insurer or administrator contact
- Demands, responses, offers, and follow-up correspondence
- Prior payments, signed releases, and assignments
Keep the handoff organized.
Use a separate folder for each claim. Name files with the claim number and a brief description. Preserve original records and provide copies for review.
Call Bill to confirm the document-delivery method before sending files. Avoid sending Social Security numbers, bank details, or unrelated personal records.
